Problem

They've joined, but can't get in.

When a distributor hires a new rep, sales files a request with the manufacturer's IT department, it goes through internal review and sign-off, and once approved someone creates accounts in each app by hand. On average that takes 16 days. Meanwhile orders fall back to phone and fax, and revenue is lost.

Handovers and transfers follow the same procedure. The more people move through distributors, the more requests pile up on the manufacturer's side.

Mechanism

Put a policy where the request used to be.

All the manufacturer does is name an admin for each distributor and set a policy once: this role at this distributor gets these permissions. The distributor runs the rest.

    The manufacturer names an admin for each distributor and defines, per role (say, order desk or service), which apps and permissions apply. Define it once and it covers every rep who follows.

    The distributor adds its reps

    The distributor admin invites reps from their own screen. The rep creates an account from the emailed link and the admin approves it. The manufacturer never touches it. For distributors where you want to keep your own approval, an extra step can be added.

Only that distributor's members are shown, and adding, approving, and changing roles all happen here. The distributor never touches the manufacturer's screens. Reps can also register themselves on the portal for the admin to approve. Distributors without IT staff can use it without instruction. Logo, colors, and domain follow your brand, so distributors see it as your portal.

See across every distributor who is on which team, with access to what. Naming each distributor's admin, setting role policies, receiving notices of additions and changes, and changing or locking access when needed all happen here. Control stays with the manufacturer after delegation.

Frequently asked questions

Is it safe to let distributors grant access?

The manufacturer's policy sets the ceiling. Distributor admins only assign roles within it and cannot grant anything the policy doesn't allow. Who added whom is always on record.

What if we want to keep our own approval step?

You can add a manufacturer approval step per distributor. Large accounts can require approval while smaller distributors self-approve.

How is this different from an IGA workflow?

IGA request workflows assume an internal manager or IT approves. In Tactna the distributor admin is the actor. Skipping the internal approval chain is what turns weeks into the same day. Most customers keep employee IDs in IGA and hand only external IDs to Tactna.

Does the distributor need IT staff?

No. The admin screen is limited to adding, approving, and changing roles. No technical knowledge is needed.

What does the distributor use?

Tactna Portal, the screen for distributor admins. It shows only that distributor's members, and adding, approving, and changing roles all happen there. Distributors never touch the manufacturer's admin console. Distributors without IT staff can use it without instruction.

Once it's delegated, what can the manufacturer still do?

In the admin console the manufacturer sees across every distributor who is on which team, with access to what. Naming each distributor's admin, setting role policies, receiving notices of additions and changes, and changing or locking access when needed stay in the manufacturer's hands after delegation.

Can the portal carry our own brand?

Yes. Logo, colors, and domain can be set to your brand, and no Tactna logo or colors appear. To distributor reps it arrives as a portal you provide.

What happens to authentication?

Tactna includes Auth0 or Amazon Cognito as its authentication layer. At rollout the layer comes ready inside Tactna and Tactna's specialist team migrates all existing users. There is almost no work on your side and nothing changes for users. Which one to use is your choice, based on your security standards. See "Authentication" for details.
